# User Management

> Add, edit and remove the users in your Perform.AI organization, assign roles and understand the sign-in rules, for administrators.

**Available to all Perform.AI customers.** Users with the Administrator role can add, edit and remove users.

## Summary

User Management is where an Administrator adds people to the organization, gives each of them a role and removes them when they leave. Roles decide which parts of the portal a user can open and what they can change there.

## Who it’s for

The administrator of a Perform.AI account, usually in e-commerce operations or IT, who onboards colleagues from customer service, logistics, marketing and analytics and needs each of them to see the right things and nothing more.

## Key benefits

* **Access follows the job.** Assign a role that matches what the person does, from full administration to view-only customer service.
* **Sign-in on your terms.** Users sign in with a password that meets the platform’s rules, or through your company’s identity provider when your organization uses single sign-on.
* **One place to see who has access.** The user list shows every user with their role and whether they have signed in yet.

## How it works

### Roles

Every user has one role. Only Administrators can open User Management.

| Role | Users with this role can |
| - | - |
| Administrator | Use every feature in the account, generate and download the Shipment Overview report, and manage users. Only Administrators can add, edit or remove users. |
| Parcel Creation | Open the portal and shipment details, upload new parcels, edit existing parcels, and generate and download the Shipment Overview report. |
| Logistics Intelligence | View and export the analytics charts. Tags can limit which parcels the user sees. |
| Tracking Experience | Manage Tracking Pages and their widgets. |
| Customer Service | Either view and edit all parcel details and work with email notifications and webhooks, or view only, for all parcels or for the parcels with a given carrier reference or tag. |

### Signing in

The sign-in page offers a **Password** tab and an **SSO** tab. Which tabs work for your users is an organization-level setting.

| Method | How it works |
| - | - |
| Password | The user signs in with email and password. The password must be at least 10 characters and contain an uppercase letter, a lowercase letter, a digit and a special character, with no spaces. |
| Single sign-on | The user is sent to your identity provider and signs in there. Supported providers include Google, Microsoft Entra ID and SAML-based providers. Any multi-factor policy your provider enforces applies. |
| SSO only | Your organization can switch password sign-in off entirely. New users then receive no password email and sign in through your provider only. A user who signs in through SAML for the first time is created automatically and given a role. |

After five failed password attempts the account is locked, and it stays locked until the user completes a password reset, even if the correct password is entered. The password reset form is protected against automated requests. Perform.AI does not force periodic password changes.

### User status

| Status | Meaning |
| - | - |
| Inactive | The user has been added but has not signed in yet. |
| Active | The user has signed in. |
| Disabled | The user has been disabled and cannot sign in. |

## Set up in the portal

Go to **Settings** > **Users**.

**Add a user**

1. Select **Add user**.
2. Enter the user’s email address and select **Continue**.
3. Select a role and select **Add**.

**Change a user’s role**

1. Select the user’s email address in the list.
2. Choose the new role.

**Remove a user**

1. Select the user’s email address in the list.
2. Select **Remove**.

The same list shows each user’s role and status, so an Administrator can see who has signed in.

## FAQ

### Why can’t I see the Users page?

Only users with the Administrator role can open User Management. Ask an Administrator in your organization to change your role or to make the change for you.

### Can a user have more than one role?

Each user is assigned one role from the list. Choose the role that covers everything the person needs; Administrator covers all features.

### I entered the right password but I am still locked out

After five failed attempts the account stays locked until a password reset is completed, even with the correct password. Use the password reset link on the sign-in page.

### Our company uses single sign-on. Do our users need a Perform.AI password?

No. When your organization is configured for SSO, users sign in through your identity provider. If the organization is SSO-only, no password exists for them and the Password tab will not work.

### A user shows as Inactive. Is something wrong?

No. Inactive means the user has not signed in yet. The status changes to Active after the first sign-in.

## Troubleshooting

| Symptom | Cause | Fix |
| - | - | - |
| The Users menu is missing | The user does not have the Administrator role | An Administrator changes the role under **Settings** > **Users**. |
| A user cannot sign in on the Password tab | The user belongs to an SSO-only organization or was created through SSO and has no password | Sign in through the **SSO** tab. |
| Sign-in fails with the correct password | The account was locked after five failed attempts | Complete the password reset from the sign-in page. |
| A new password is rejected | It does not meet the rules | Use at least 10 characters with an uppercase letter, a lowercase letter, a digit and a special character, and no spaces. |
| A user sees fewer parcels than expected | The user has a view-only Customer Service role limited by carrier reference or tag | Review the role and its scope with an Administrator. |
